Information we collect

Account & profile information

When you create an account or interact with our Website, we collect details such as your name, email address, and, where you choose to provide them, phone numbers and other profile information. Identity log-in is handled by our authentication provider, which supplies the basic identity claims associated with your account.

Feedback content

We process the feedback you send and receive on the platform — including the text of inreaches, responses, and any related attachments — in order to deliver it to the intended recipient and to provide product features such as translation and summarization.

Billing information

If you purchase a paid plan, our payment processor collects and stores the payment details required to process the transaction. We retain billing metadata (such as subscription status and customer identifiers) but do not store full card numbers ourselves.

Usage & diagnostic data

We collect information about how you use our Website — pages visited, interactions, device and browser metadata, and error/diagnostic telemetry — to operate, secure, and improve the service. This includes behavioural analytics captured via a third-party session-analytics provider (see Section 4).

Data protection and security

We take appropriate security measures to protect your data from unauthorized access, alteration, or disclosure. However, no online platform can guarantee complete security.

Cookies and tracking technologies

We do not sell advertising and we do not use advertising or cross-site marketing cookies. We use the following categories of cookies and similar technologies:

Essential cookies

Required for log-in, session management, security, and core site functionality. The Website will not function correctly without these.

Product analytics

We use Microsoft Clarity to understand how users interact with the Website (e.g., clicks, scrolls, page navigation, and aggregated session recordings). This helps us debug issues and improve usability. Microsoft processes this data on our behalf in accordance with their privacy terms. Clarity is not loaded in our development environment.

Operational telemetry

We collect application telemetry (request traces, performance metrics, and error logs) via Azure Monitor / Application Insights to keep the service running reliably.

Sharing of information

We do not sell, rent, or trade your personal information. We share data only in the following circumstances:

Service providers (sub-processors)

We rely on a limited set of trusted third-party providers to run the service. They process data on our behalf, under contractual confidentiality and data-protection obligations, only for the purposes described below:

Auth0 (Okta)

Authentication and identity management. Receives the identity claims associated with your account (e.g., email, profile attributes).

Stripe

Payment processing and subscription billing for paid plans. Receives the billing information required to complete your transaction.

Twilio

SMS delivery. Receives the recipient phone number and the contents of the message we send on your behalf (e.g., notifications you have opted to receive).

Azure Communication Services (Email)

Transactional email delivery. Receives the recipient email address and the contents of the email being sent.

Microsoft Azure (hosting & storage)

Application hosting, file storage (Azure Blob Storage), and operational telemetry (Azure Monitor / Application Insights).

OpenAI

AI processing of feedback content for features such as translation, summarisation, and structured extraction. Inreach and response text is transmitted to OpenAI's API for inference. OpenAI does not use this content to train its models when accessed via the API.

Microsoft Clarity

Product analytics and session-behaviour analytics on the Website, as described in Section 4.

Other disclosures

When required by law, regulation, or legal process.

To protect our rights, privacy, safety, or property.

In connection with a merger, acquisition, financing, or sale of assets, in which case we will require the receiving party to honour this Privacy Policy.
